PRESENTATION GUIDE
We’re thrilled to have you joining us as a speaker at the World Conference on Timber Engineering.
To help you prepare, here are a few key details and next steps:
INFORMATION FOR ORAL PRESENTERS
Timings
Please go to your session’s room 15 minutes prior to your session to meet the Session Chair / Moderator.
Length of Presentation
Oral presentations must be no longer than 15 minutes in total, including time for Q&A (ideally 12 minute presentation with 3 minutes for Q & A). Please plan your presentation accordingly, if you use the full 15 minutes for your presentation, there will be no time left for Q&A. Sessions will be strictly moderated to ensure the schedule runs on time.
Note: Some sessions have been allocated additional Q&A time at the end of the session.
Presentation Template
Presentations should be created in PowerPoint using a 16:9 format. A PowerPoint template is available via the link below, however its use is optional—you are welcome to use your own template if preferred. Please note that presentations must not exceed 20 slides in total.
Keynote Presentation & Special Presentations
Keynote and Special presentations must be no longer than 30 minutes in total, including time for Q&A. After each keynote session there will be a Panel Discussion to allow for further Q & A with the audience.
Uploading your PowerPoint Presentation at Venue
Please visit the Speakers’ Presentation Centre the day before your presentation, please bring a copy of your PowerPoint file on a USB drive. To help streamline the process, be sure to know your session name (e.g., Session 1A) when you arrive.
Due to the high number of presenters, please be prepared for possible wait times when uploading your presentation.
Location of the Speakers’ Presentation Centre
The Speakers’ Presentation Centre is located on the Concord Level. Using the lift located directly outside of the Plaza Auditorium down to the Concord (C) Level. Please note this room is accessible via Lift only.
If you are having difficulties finding this room please make your way to the Registration desk for further clarification.

INFORMATION FOR POSTER PRESENTERS
Poster
Please bring a printed A1 poster with you to the conference. Your poster will be displayed on a poster board located on the Boulevard level for the duration of the event. Please refer to the Style Guide on the layout requirements for this Poster.
Note: there are no printing facilities onsite.
Poster install
Posters are to be installed onto pinboards from 8am on Monday 23rd June. There will be a sign on the pinboards to identify where to place your poster. The Boulevard level is located on the level below the Plaza and can be easily accessed via either escalators or lift.
If you would like to take your poster home, please ensure these are removed by 2pm on Thursday 26th of June.
Poster Presentation
For your 4-minute poster presentation, you will be assigned to a specific room. The poster presentations will take place from 1:30pm during scheduled lunch breaks. Please bring your USB with uploaded presentation directly to the presentation room, as there is no need to visit the Speakers’ Presentation Centre.
If you do not want to present your poster, please advise the WCTE 2025 Conference Committee via email, so we can remove your presenting slot from the scheduled program. Email: wcte2025@civil.uq.edu.au

IMPORTANT INFORMATION FROM BCEC
The Brisbane Convention & Exhibition Centre (BCEC) offers a total solution for presenters including advice and assistance. There will be experienced audio visual technical professionals and the very latest in presentation technology, all within the comfort and privacy of the Speakers’ Presentation Centre complete with fully equipped networked preparation room.
Speakers are offered a centralised, secure service, which facilitates the easy transfer of submissions to the conference venue server. To submit files speakers’ can log in and submit large files securely and without experiencing transfer problems by taking advantage of the Centre’s website storage capacity.
The Speakers’ Presentation Centre provides a central point of contact for the presenter. BCEC’s friendly technical staff will be on hand throughout the event to manage this area.
THE TOTAL SOLUTION
Each conference room is supplied with a computer that is networked back to the Speakers’ Presentation Centre. When presenters arrive they make their way to the Centre, located on the Concord Level, where one of BCEC technicians will assist them to transfer their PowerPoint presentation on to the network. Once the presentation is on the network, it may be reviewed on one of the computers within the Speakers’ Presentation Centre. This review ensures that any unforeseen issues can be sorted out well before a speaker presents to an audience. BCEC technicians ensure that each presentation is sent to the appropriate conference room at the scheduled time.
WHAT TYPES OF COMPUTERS AND SOFTWARE ARE SUPPORTED?
As standard, the Speakers’ Presentation Centre and conference rooms use the latest Microsoft Windows operating system and MS Office suite. A Mac computer can be supplied providing notice is given in advance. In the larger rooms, BCEC provide a desktop PC that is located with their technical operator at the back of the room. The BCEC operator in the venue is responsible for ensuring that each presentation is displayed at the appropriate time, taking all responsibility away from the presenter.
WHAT TYPE OF COMPUTERS DO WE HAVE IN THE SPEAKERS’ PRESENTATION CENTRE?
BCEC have a current inventory of desktops and laptops with the latest Microsoft Windows operating system and MS Office suite or presenters within the centre, with the ability to add many more if needed. The presentation master computer, which is manned by BCEC support technicians, has Adobe creative suite giving them the ability to create PDF’s upon request. They all come with an LCD monitor for easy viewing. These computers are updated regularly to ensure they are always equipped with latest service packs and patches.
CAN PRESENTERS REHEARSE PRIOR TO THEIR PRESENTATION?
Yes. We have a dedicated rehearsal room adjacent to the Speakers’ Presentation Centre that can be utilised.
HOW DO PRESENTERS CONTROL THEIR PRESENTATIONS ON STAGE?
A fully integrated remote control system at the lectern is provided with mouse and keyboard. All clearly marked for the presenter’s convenience and comfort.
DO PRESENTERS HAVE TO TURN AROUND AND LOOK AT THE LARGE SCREEN TO SEE WHERE THEY’RE UP TO?
No, BCEC provide a slim-line flat screen monitor adjacent to the lectern that displays an identical image to that on the large screen. The presenter can see exactly where they are up to at a glance. Occasionally, in the smaller rooms only, we may not to have a technical operator present at all times. In these instances we provide a computer adjacent to the lectern that is also networked to our Speakers’ Presentation Centre. In this case, the presenters operate the computer themselves. BCEC speaker support technicians ensure that all presentations are clearly marked and easy to access. Where an operator is not present, please note that there are ‘roaming’ or ‘floating’ technicians who will oversee several smaller rooms and ensure all is operating correctly.
WHAT HAPPENS IF A PRESENTER MUST USE THEIR OWN COMPUTER?
All conference rooms can be provided with facilities to plug in a laptop at the lectern. When this occurs, one of the BCEC technicians will assist the presenter and will switch the large screen to the presenter’s laptop when required.
Presenters who must use their own computer should still visit the Speakers’ Presentation Centre, so that this can be noted and the appropriate technical operators made aware.
IMPORTANT NOTES
In order for everything to work as effectively as possible, it is imperative that ALL presenters visit the Speakers’ Presentation Centre prior to their scheduled presentation time. Presenters should NOT take their presentation directly to the conference room (unless presenting a Poster Presentation). This includes those who may be using a presentation medium other than PowerPoint. The speaker support technicians will make note of special requirements, and organise appropriate equipment.
